Paradox #2: Focus vs. Frenzy
You feel it before you recognise it because your sub-conscious brain is doing all the heavy lifting on autopilot while you butcher your conscious mind with bad practice. Don't be insulted, we all do it. We treat the conscious part of our brain (technically known as the neocortex) with disdain—without consideration of the long-term damage we are doing, and it is this point that has fuelled my rant.
The creeping contradiction of focus over frenzy that governs our days. The relentless demand to focus in a world engineered for distraction. The push for focus amidst frenzy. The expectation to function efficiently in environments designed for inefficiency.
It’s not just frustrating. It’s the paradox we all live in yet refuse to change. How absurd.
At first, you think the answer is more control. More calendars, more systems, more lists, more rigid compartmentalisation to impose order upon the madness.
But here's the dichotomy - it works...until it doesn’t. And finally, you recognise it, long after you've felt it and when it's too late. You finally recognise it because now, it is conscious. We're all ducks. To an onlooker we're swimming peacefully on the lake (conscious mind) but under the water, what the onlooker can't see is a frenzy of activity (subconscious mind) on auto pilot, fielding all the things you're suppressing to make way above the water for more shit. Eventually something must give and the words 'I can't take this anymore, I'm stressed' whispered in the dark where no one else can hear them are the straw that broke the camel's back.
Here’s the kicker, you can’t force focus into a frenzied world. You have to learn to operate within it, not push against it.
The Productivity Ninja Mindset
A Productivity Ninja isn’t someone who eliminates the frenzy. They’re someone who moves effortlessly through it. Fluid, precise, adaptable, and in command without rigidity.
It starts with awareness and it evolves through mindset shifts. Most importantly, it sustains through strategic simplicity. It doesn't take rocket science to put the brakes on this runaway train (a little understanding of neuroscience wouldn't go astray), it just takes a shift in mindset, not through exhaustion, but through optimisation.
I’ve spent over 15 years training individuals and organizations from leaders of fortune 500 companies on down, on the methods and strategies for increasing productivity, eliminating wasted effort, and rewiring mental environments for efficiency. Here’s one lesson I can tell you for certain. Time is the most valuable commodity, because it is the only true finite resource.

You cannot redeem time once it’s gone. It is the only true finite resource.
So, here's the first simple step in shifting your mindset. Stop thinking of time in terms of it being spent, and start thinking of time in terms of it being invested.
Why We’re Stressed (and What to Do About It)
Most common complaints stem from stress. And we get stressed because we feel overwhelmed. And no wonder! Insurmountable inboxes, in-trays overflowing. Unachievable milestones and deadlines, many of them self-imposed I hasten to add.
But here’s a cold, hard truth few recognise:
It’s not just the volume of work that causes overwhelm, it’s the scattered nature of information.
Your brain isn’t struggling because of too much to do. It’s struggling because it has nowhere structured to put it all.
That’s why your productivity system is everything. I call it my 'single source of truth'. Where is your actionable work right now? If you're like most people I have trained it's in one or more of these places:

🎲 Your digital desktop.
🎲 Written on a scrappy piece of paper in a pseudo prioritised order.
🎲 Written on sticky notes splattered across your physical desktop.
🎲 On the whiteboard in your office.
🎲 In an Excel Spreadsheet.
🎲 Wallowing in an app (or 7) 'designed to streamline your work'.
🎲 Swiftly sinking in an ever-growing feed in your company's main communication tool.
🎲 Or, worst of all... in the washing machine cycle of thought being tossed back and forth between your conscious and subconscious minds.
Now for the humbling truth. You're probably using most, if not all of these methods. Have you any idea how much mental energy it takes to maintain control of your workload when it's sporadically dispersed across a plethora of platforms? That is the antithesis of a single source of truth. Are you getting the picture?
Think about three silos of work:
✅ Actionable Work—the tasks you need to complete.
✅ Supporting Data—the references, files, emails, and research tied to your tasks.
✅ Historic Data—past work that needs storage (not constant mental clutter) but doesn't contribute to the value of your day-to-day operations.
If you can corral each data type into systems designed to manage them, you create clarity by default. And when clarity exists, focus happens naturally. Do you have systems, dedicated systems for each silo of work? Are they interlinked without being intermingled? The importance of this cannot be overstated. By silo-ing, or compartmentalising your work based on this structure, you alleviate your actionable work of distraction.
Think about it! Is the task you can't tackle until next Friday adding value when it's intermingled with the tasks that must be completed today? Of course not! In fact it's a distraction, subconsciously putting pressure on you while you're struggling to maintain focus on today's priorities.
